We are looking for a proactive and organized Bilingual Receptionist & Office Administrative Assistant to support our daily operations, acting as the first point of contact for visitors while also assisting with general administrative tasks!

Responsibilities:

  1. Welcome and assist visitors at the front desk, ensuring access authorization to the building and office;
  2. Manage phone calls, emails, and deliveries with professionalism and efficiency;
  3. Provide day-to-day administrative support to HR and corporate teams;
  4. Assist with the visa invitation letter process for Chinese expatriates traveling to Brazil;
  5. Coordinate travel arrangements, including hotel bookings, flight tickets, and ground transfers;
  6. Handle monthly office supply purchases and maintain stock levels;
  7. Support with basic office errands and general admin tasks as needed;
  8. Ensure the reception area is tidy and presentable at all times;
  9. Act as a key point of contact for internal and external administrative matters;

Requirements:

  1. Fluent or advanced English (written, spoken, and reading);
  2. Strong communication and interpersonal skills;
  3. Professional appearance and confident presence to represent the company at the front desk;
  4. Proactive, hands-on, and solutions-oriented attitude;
  5. Highly organized with strong attention to detail;
  6. Previous experience in reception and/or administrative roles;
  7. Familiarity with Microsoft Office and general office systems.

Location:

  • Position based in the Morumbi region (São Paulo);
  • 100% on-site work from Monday to Friday, standard business hours (9am-6pm).
